How to create a subscription product

Below is a short guideline on how to create a subscription product in the back office.

Log into your back office (admin.salescloud.is) and navigate to Products -> Items.

Click Add Item, a list of different items appears, select Subscription.

The subscription product has six different settings:

  3. Renewal Rules*
  4. Images
  5. Optional
  6. Availability (This field does not appear until after you have saved your subscription and you go into edit again)
  7. Auto-renewal*
  8. Change history

1. General*

  • Title - The name of the subscription product (e.g. Gym membership)
  • Product SKU - A unique identifier for the product, e.g. (monthly_subscription)
  • Description - If the subscription is available online we recommend giving it a description.
  • Status - Active (available) or Disable (unavailable)

2. Pricing Rules*

Controls how prices are calculated when subscriptions are renewed or initially purchased.

  • Price
  • Initial Price
  • Recurring Price
  • Prorate 
    When active, sets the next payment date to the end of the month and overrides the initial price of the subscription based on how many days are until the end of the month.
    We do not recommend turning this on.
  • Pay what you want
    Turn this on if you wish for your customer to decide how much they pay. This is used for charities and non-profit organizations that offer people to donate on a regular basis.

3. Renewal rules*

Control the length of the subscription.

  • Initial period: options between month, year or week
  • Recurring period: option between month, year or week
  • Billing period: option between month, year or week
  • End period: You only need to enter a number here if there is a scheduled end date. Otherwise you leave it blank.
For example, if you have a 6 month subscription with a monthly payments you set the initial, recurring, and billing periods as 1 month and the end period you set as 6 months. 

4. Images (Optional)

Here you connect a picture to the subscription. Please note that it cannot be larger than 5MB and preferred ratio is 1:1. We recommend PNG file format.

5. Optional (Optional)

As the section title applies, this is optional, and we suggest leaving this section blank unless you have further instructions from us.

6. Availability

This is by default set to Unlimited and should never be changed.

7. Auto-renewal*

This part is very important because it dictates whether the subscription renews itself or not. There are three fields in the section.

  • Notifications
    By default it is set to Do not send renewal notification but you can change it to Send renewal notification 0 days prior to first auto-renewal attempt up to 21 days prior.

    If you do not want your subscribers to be notified of an upcoming renewal, then leave it as is. 
  • First renewal attempt*
    By default it is set to Do not attempt auto-renewal. Other options are Attempt first-auto-renewal 0 days prior to next scheduled payment up to 21 days prior.

    After the subscription period has passed, you can decide when the first renewal attempt is made.

    For example, if you choose Attempt first auto-renewal 0 days prior to next scheduled payment the subscription renews automatically on the same day each month. (If subscription is purchased on the 7th of January it will renew itself on the 7th of each month.)
  • Grace
    By default it is set to Stop auto-renewing subscriptions 7 days after expiration up to 21 days after.

    This defines for how many days the system should attempt to renew a subscriptions if the payment was not successful.
    If you choose 21 days, the system will make an attempt to charge the customer's card every day for 21 days after the failed renewal attempt. 
  • Continuous Recurring
    When active, recurring orders compound.

8. Change History

Leave this section as is. Never make any changes here.

When you have completed the setup process for the subscription you click on the "SAVE PRODUCT" button on the bottom of the screen. Now you have a completed subscription product.
